Online Booking Software for Chimney Sweeps

Every missed call while you're on a roof is a job that goes to someone else. We Sweep puts a booking widget on your website so customers can book — and pay — around the clock, without you touching the phone.

Then each booking looks after itself: it goes into a diary that plans its own route, builds the customer's record, takes payment the way you allow and sends every confirmation and reminder. You pay We Sweep nothing — your customers pay a £1.95 online booking fee, which you can subsidise.

How online booking works with We Sweep

  1. Customer enters their postcode and picks a service — the postcode is checked against your service area first. Then your services and prices, shown on your own website in your own branding, with a chimney count that scales the price and the length of the job for multi-flue properties.
  2. Chooses a date that genuinely fits — only dates the job fits, worked out from your technicians' working hours, time off, existing jobs and Google Calendar events, so double-bookings can't happen. They say morning, afternoon or don't mind, and the exact time is planned around the day's other jobs.
  3. Tells you anything you should know — an optional note and up to three photos of the fireplace or chimney, which follow the job to the office, the technician's phone and your Google Calendar.
  4. Payment, your way — take card payment at the time of booking so the job arrives already paid, or let customers settle on the day by cash, card at the door or bank transfer, with an optional card deposit. Anything unpaid after the job is chased automatically.
  5. Confirmations and reminders — the customer gets an instant confirmation with a provisional arrival time, then their confirmed time 24 hours before the appointment, which keeps no-shows to a minimum.

There's a step-by-step walk-through — including why customers choose a date rather than a time — on how online booking works.

Why sweeps switch from phone-and-diary

  • Bookings arrive evenings and weekends — when homeowners actually plan chimney maintenance
  • No more phone tag or "I forgot you were coming" — and jobs that aren't settled on the day are chased for you, automatically
  • Jobs slot into an automatically optimised daily route, not wherever there's a gap in the diary
  • Every booking creates a proper customer record with job history and certificates attached

A diary that keeps itself in order

Online bookings and the bookings you take over the phone all go into one diary, with day, week and month views. Every technician has their own working hours and time off, and can connect their own Google Calendar, so the availability customers see is always real — and every booking is checked for clashes before it's saved.

Phone bookings go in through the same booking form in your admin panel. They stay at the time you agreed with the customer, and online bookings are planned around them.

The rest of the day plans itself. Each new booking, reschedule or cancellation re-orders the affected day on real Google drive times between the addresses booked. 24 hours before each appointment the route is made final and the customer gets their confirmed arrival time — after that, the booking doesn't move. More on how route planning works.

Every booking builds a customer record

The first booking creates the customer, and every booking after that adds to their history. Each record holds their contact details and address, every past and upcoming booking, and the certificates and photos from each visit. Search finds a customer by name, address, email or phone number, and a filter lists anyone you have no email or phone number for, so your technician can ask at the next visit.

Customers get a portal of their own. They log in with a link sent to their email — no password — to see their bookings, certificates and photos, and to reschedule or cancel without ringing you.

Payments and deposits, your way

You choose which ways to pay your customers see when they book:

  • Card at booking — paid through Stripe before you arrive, into your own Stripe account.
  • Pay on the day — cash, bank transfer, or card at the door by QR code or payment link.
  • A deposit on pay-on-completion jobs — a fixed card deposit of £10 to £50, taken with the booking, with the balance settled on the day. If the customer cancels more than 14 days after booking, you keep it; if they move the booking, the deposit moves with it.

Anything still owed after the job goes on one unpaid-jobs list and is chased automatically at 3, 7 and 14 days, and the customer gets a receipt once it's settled. You pay We Sweep nothing: your customers pay a £1.95 online booking fee, shown before they book, which you can subsidise. Card payments carry processing of 1.5% + 20p, as with any card machine. Reminders that send themselves

Every booking sends its own messages, so nobody has to ring round the night before:

  • an instant confirmation, with a provisional arrival time
  • the confirmed arrival time 24 hours before — by email, and by free SMS from your business's own name if you switch it on
  • an on-the-way message when your technician sets off
  • after the sweep, an email with a link to download the certificate
  • payment reminders if anything is left to pay
  • about 11 months after the sweep, for bookings made through We Sweep, a reminder to book the next one

See every message and when it goes out.

Switching from another booking system?

Bring your diary with you. Export your upcoming bookings from your current system — or fill in our CSV template from a spreadsheet or a paper diary — and import them as a CSV or Excel file. You match the columns once and check a preview before anything is saved; the file is read in your browser and never uploaded.

  • Future bookings come across, up to 12 months ahead. Past jobs stay in your old records.
  • Customers with no email or phone number come across too, flagged so your technician can collect the details at the visit.
  • Bookings your customers paid you for in full before you switched can come across in your first 14 days, marked as paid.
  • You can undo an import for 7 days — bookings nobody has touched since are removed.

Bookings you import in your first 14 days carry no booking fee, for you or your customers. After that you can still import: each imported booking costs you £1.95, and your customers never pay a booking fee on it. The details are on our pricing page.

Online booking is part of the full We Sweep chimney sweep software platform, alongside digital certificates and the field app.

Frequently asked questions

Can customers cancel or reschedule their booking online?

Yes — from the link in their confirmation email or from their online portal, and rescheduling online is open until 24 hours before the appointment. If the customer cancels, the £1.95 online booking fee is non-refundable — they agree to that when they book. The rest depends on how they paid. A card payment taken at booking is refunded automatically, apart from the fee, if they cancel more than 24 hours before the appointment; within 24 hours, nothing is refunded. A card deposit on a pay-on-completion booking is refunded, apart from the fee, if they cancel within 14 days of booking, however close to the appointment; after 14 days the deposit isn't refunded — you keep it — and if they move the booking to another date instead, the deposit moves with it. A pay-on-completion booking with no deposit has nothing to refund, because nothing has been paid yet. If you cancel a booking yourself, the customer is refunded in full, fee and any deposit included.

What stops double-bookings?

The calendar only ever shows real availability, built from each technician's working hours, existing jobs and Google Calendar events — with conflict detection on every booking.

Do customers get booking reminders?

Yes. Customers get an instant confirmation, then a reminder with their confirmed arrival time 24 hours before the appointment — by email, plus a free SMS from your own business name if you switch it on. About 11 months after the sweep, for bookings made through We Sweep, they get a reminder to book their next one. All sent automatically.

Can I still take bookings over the phone?

Yes. Enter them in your admin panel with the same booking form: the service, the customer and the time. A booking you enter stays at the time you agreed — online bookings are planned around it — and the customer gets the same confirmation and reminders as an online booking. The panel shows you the total to quote, including the £1.95 online booking fee.

How much does online booking cost?

Nothing. There's no monthly fee, nothing to set up and nothing per booking. Your customers pay a £1.95 online booking fee, shown up front on top of your price, however they pay — and you can subsidise it if you prefer. Standard card processing of 1.5% + 20p applies to card payments, as with any card machine.
