ONLINE BOOKING FEE TERMS

These terms explain the online booking fee you pay when you book a chimney sweep business that takes its bookings through We Sweep. Please read them before you confirm a booking — by confirming, you accept them.
1. Who we are
Mark Dodson T/A We Sweep ("We Sweep", "we", "us", "our"), of Lower Moorlands, Sherburn‑in‑Elmet, LS25 6DN, provides the online booking platform used by the chimney sweep business you are booking (the "Business"). You can contact us at management@we-sweep.co.uk.
We Sweep is not the chimney sweep. The sweeping or other work you book is provided by the Business, under your contract with the Business, and the price for that work is the Business's price. These terms cover only the online booking fee.
2. What the online booking fee is
- 2.1 Each booking made through We Sweep carries an online booking fee of £1.95, including VAT (the "Fee"). The Fee is payable to We Sweep, not to the Business, and is shown to you as a separate line before you confirm your booking.
- 2.2 The Fee is added on top of the Business's price. It is never hidden inside the price: the total you see before you confirm — for example, "£76.95, including £1.95 online booking fee" — is the total you pay.
- 2.3 The Business may choose to cover part or all of the Fee for its customers. If it does, the amount shown at booking is the amount you pay, and it may be less than £1.95 or nothing at all. If no fee line is shown, no Fee is payable.
- 2.4 The Fee is the same however you choose to pay for the work — by card when you book, by card when the job is done, in cash, or by bank transfer — and it also applies to bookings the Business enters for you (for example, when you book by phone).
- 2.5 The Fee is charged once per booking. It is not charged again if the Business reschedules your appointment, if extra work is agreed on the day, or if a booking is amended.
3. What the Fee pays for
The Fee pays for the booking service We Sweep provides to you: taking your booking online (or recording the one you made by phone), securing your appointment slot, sending your confirmation and reminder messages by email and — where the Business has enabled them — text message, holding your certificate and booking history in your online customer portal, and handling payment for the booking. The booking service is provided in full as soon as your booking is confirmed.
4. How and when you pay the Fee
- 4.1 Card when you book: the Fee is included in the card payment you make when booking, alongside the Business's price. It appears as its own line on the payment page and your receipt.
- 4.2 Deposit bookings: where the Business asks for a deposit on a pay‑on‑completion booking, the deposit and the Fee are paid together by card when you book, and the balance of the Business's price is paid on the day. The booking page shows you what is payable today and what is due on the day before you confirm.
- 4.3 Cash, bank transfer, or card when the job is done: the Fee is paid together with the Business's price when the work is finished. Where you pay in cash or by bank transfer, you pay the Fee to the Business, which collects it on our behalf; the amount to pay, including the Fee, is stated in your confirmation and in the message you receive when the job is completed.
- 4.4 Card payments are processed by Stripe. We Sweep does not see or store your card details.
5. Cancellation and refunds
- 5.1 If you cancel: the Fee is non‑refundable, however much notice you give. This is because the booking service the Fee pays for (section 3) has already been provided in full once your booking is confirmed. Whether the rest of what you have paid is refunded depends on the Business's cancellation terms as applied through the platform: at present, a card payment or deposit is refunded automatically if you cancel more than 24 hours before your appointment, and is not refunded if you cancel within 24 hours of it. The 24‑hour rule is the Business's policy, not ours, and the Business may agree something different with you directly.
- 5.2 If you have not yet paid the Fee (for example, a cash booking you cancel before the visit), nothing is payable.
- 5.3 If the Business cancels: you will be refunded everything you have paid, including the Fee, whatever the reason and however close to the appointment. Refunds are made to the card you paid with, normally within 5–10 working days depending on your bank.
- 5.4 If the Business reschedules your appointment, or you agree a new date with the Business, no additional Fee is charged and nothing is refunded — the booking simply moves.
- 5.5 Nothing in these terms affects any refund you are owed by the Business for the work itself, which is governed by your contract with the Business and by consumer law.
6. Your right to cancel under the Consumer Contracts Regulations
- 6.1 Because you book online, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 give you a 14‑day right to cancel a contract for services. However, the booking service that the Fee pays for is provided in full as soon as your booking is confirmed — that is the moment your slot is secured and your confirmation is sent.
- 6.2 When you confirm a booking you expressly request that we provide the booking service immediately, and you acknowledge that, once the booking service has been fully performed, you lose the right to cancel the Fee. That is why the Fee is non‑refundable if you cancel, even within the 14 days.
- 6.3 This does not affect your right to cancel the appointment with the Business, or any refund of the Business's price under section 5.
7. Changes to the Fee
The amount of the Fee may change from time to time. The Fee that applies to your booking is the one shown to you when you confirm it; a later change never affects a booking already made.
8. Complaints
- 8.1 If something has gone wrong with the Fee — you think you have been charged it twice, charged it when no fee line was shown, or not refunded it when the Business cancelled — please email us at management@we-sweep.co.uk with your booking reference (it is in your confirmation email). We will acknowledge your complaint within 2 working days and aim to resolve it within 14 days.
- 8.2 Complaints about the sweeping or other work, or about the Business's cancellation terms, should be raised with the Business in the first instance; we will pass on anything sent to us in error.
- 8.3 If we cannot resolve a complaint about the Fee to your satisfaction, you may take the matter to the courts of England and Wales. You may also find independent advice through Citizens Advice. Nothing in these terms affects your statutory rights.
9. Your personal data
To charge, refund and account for the Fee we hold a limited record of the transaction — your booking reference, the amount of the Fee and any deposit, how and when it was paid, and the Stripe payment reference — together with the name and email address shown on your receipt. We Sweep is the data controller for that record. Everything else about your booking is held on behalf of the Business, which is the data controller for it. Our Privacy Policy explains both roles and your rights.
10. About these terms
- 10.1 These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction. If you live in Scotland or Northern Ireland you may also bring proceedings in your local courts.
- 10.2 If any part of these terms is found to be unenforceable, the rest continues to apply.
- 10.3 The Business's own terms and the We Sweep Terms of Service the Business has agreed to do not change these terms as they apply to you.
